export licenses have recordkeeping requirements that go beyond
the license expiration date. All hardware exports also require
notifications prior to shipments. These notifications are done
online and result in notification numbers that are required on
the shipping documents. In addition, some licenses require
initial shipment reporting and/or yearly reporting.
Recordkeeping requirements are outlined in the Export
Administration Regulations (EAR). U.S. Government agencies may
inspect these records whenever they consider it necessary and
can impose citations on companies that do not have, or fail to
produce the requested records. It is for this reason that
a systematic method of filing and retaining records is critical
to your company's export compliance program's success.
